Purpose of the assignment:
To organize events and conferences at TU Delft in a results-oriented manner by streamlining them and ensuring they align better with the strategic priorities and communication objectives of TU Delft. Additionally, to develop a uniform approach and organization of events for increased synergy and improved brand positioning.

The current situation:
TU Delft organizes a wide variety of different internal and external events and conferences. However, it is not always clear what role and value these represent for the organization. Moreover, there is a lack of overview of the events being organized within the organization by different departments to determine the ownership.

The new situation:

• Process improvement with a uniform approach for organizing events within TU Delft. This will result in at least 20% more efficiency through smarter and more effective collaboration.
• Event strategic framework, in which the events align with the strategic priorities of TU Delft with clear goals, objectives, and smart KPIs to measure and monitor the impact of the events.
• Integration of events into TU Delft’s communication plans, leading to more visibility of planned events and fewer ad-hoc requests.
• Improved collaboration terms and economies of scale with preferred suppliers, leading to better cost control and savings.
• Increased ownership, direction, and visibility from the TU Delft Events team. This leads to, among other things, higher productivity, improved collaboration with colleagues, higher quality, and stronger brand consistency.
• Clear event request process for internal clients on when they can expect support from TU Delft Events.
• Annual event calendar with planned events in line with the communication plans.

EuroShop is the The World’s No. 1 Retail Trade Fair, taking place every 3 years. Signify used EuroShop to introduce its Lighting for Circularity product and systems portfolio in retail lighting. This portfolio supports the overall Brighter Lives, Better World 2025 sustainability program. The portfolio helps retailers to achieve their sustainability goals, while at the same time maximizing the store experience.

The sustainable booth concept was designed as a vibrant real time large food and retail store. Visitors could engage and interact with the well trained Signify experts via guided tours, offered in 7 different languages. Additionally many meetings and conversations took place in the hospitality area. The booth of 216 m2 showed a full scripted store experience with energy efficient serviceable, reusable, recyclable and 3D printed luminaires. Furthermore the connected lighting systems were demonstrated via apps and screens.

Signify hosted many visitors from all regions in the world. With in total 115 guided tours and 162 business meetings over 5 days the trade show generated many follow up activities for Signify. Both with clients as potential new customers. This should result in x Million incremental sales in the coming period which was the key objective. Thanks to the exhibit, Signify could strengthen relationships with the top large retailer accounts and open up new relationships for future business. The Signify experience was evaluated with a 4.8 satisfaction score (scale 1 to 5) by its visitors. 

Update: after 3 months the objective of incremental sales is realized and more in the sales pipeline, so overceeding all expectations. Proof that trade shows do generate turnover if you have a game plan at the start.

The Key Relations Event was organized for all important relations of Hitachi. Such as suppliers, neighboring companies, labor unions, industry associations and local government. Hitachi organized this own event for the first time for its most important stakeholders. With the purpose to thank them for their partnership over the past years and to strengthen the relationship.    

During the event program, the 50 participants were given a behind-the-scenes look at the Hitachi site in Amsterdam, including a factory tour, more information about the sustainability program and a demonstration of the latest machines. The event was closed with a shared dinner in the showroom.

The event was rated with an average event satisfaction score of 4.7 (scale 1-5) and a Net Promotor Score of 79 by the participants.

Bauma is the largest trade fair in the world for building material, construction and mining machines. It is every 3 years. Hitachi Construction Machinery Europe used Bauma as a platform to celebrate its 50 years of anniversary in Europe. They did this with 30 dealers and their customers. Furthermore Hitachi introduced new electric machines and digital connected technologies across their 4,000 m2 exhibition area. Besides the large outdoor area there was also an indoor hospitality pavilion to meet with customers. Including a beer tent for entertainment.

The Hitachi experience was valued with an event satisfaction score of 4 (scale 1-5) and a Net Promoter Score of 64. Hitachi welcomed more than 20,000 visitors, had 350 stand crew members and over 30 journalists from around the globe attended the Hitachi press event. Moreover a 4-days speaker program was offered to partners and customers. During the show 120 productive business meetings took place with significant business follow up. And, for the first time data was collected to measure the impact of the show for Hitachi. The exhibit of Hitachi at Bauma 2022 was successful and contributed strongly to new dealer businesses and has strengthened the relationship with their customers.

The Signify CSI Partner Summit is a yearly event for the global Certified System Integrator partner network of Signify. The purpose of this event is to share the latest knowledge and innovations with the partners. Also the partner network is thanked for its loyalty. The two-days event took place online in a morning and afternoon program session. In this way all partners over the world have the possibility to tune in. This time with event technology partners Stream My Event and Lively.

The first day was a live broadcast from the Stream My Event studio. A special program for the partner executives. The program contained a talk show with business leaders from Signify, a keynote from an industry guest speaker and the award ceremony for the best partners in the industry. The second day was all about segment knowledge sharing, In total 5 sessions, co-created with the partners. Again broadcasted in the morning and in the afternoon.       

In total 200 partner companies participated in the online event. The event was rated with a satisfaction score of 4.3 (scale 1-5). Furthermore 82% of the partners underline that the event helps to strengthen the partner network. Moreover 88% of all Platinum and Gold members participated in the summit.

The challenges: with only 2 months to go the BU Division leader decided that we had to change the event design and approach to make it a more premium brand experience including the demand to have a professional well known presenter. As a result we changed supplier, studio location and hired a tech host to make the announcements and to interact with our leaders and adapted the script. On top all was prepared during the summer holidays which gave it an additional challenge to get ready in time

The challenge: due the pandemic it was super hard to talk to customers and partners all around the world. But the team never shy away for a challenge and came up with a digital concept. This resulted in an excellent collaboration across time zones and teams, leading to a premium live streaming experience.

The challenge: the event was not broadcast from a studio, but from the own Home Experience Center of Philips Hue. So we had to reorganize the space into a living room studio setting. Furthermore we had different sessions in the program with live, prerecorded and animation parts that we had to edit in one flow. On top we demonstrated the app in live situation with a mirrored screen and by showing the change of lighting effects and scenes in a special furnished demo room. This requires special skills and equipment to show on camera.

The challenges: Due COVID-19 the international Light+Building trade show participation was cancelled in March 2020, two weeks prior from opening of the show. We received a new assignment by the CEO.  Develop a digital alternative keeping the same design concept, showing latest innovations, customer invitation only, global scale with regional approach, customer interactivity with local markets, program in multiple languages and go live date early September. Key challenges: no knowledge and experience in digital events, no benchmarks available, no digital event suppliers known, no existing digital process defined, all markets, divisions and ventures should join, complex program configuration with different audiences, time zones and various programs, no product demo content available, and different locations to shoot the prerecorded demos matching an engaging and inspiring format. Spotlight was by far the most complex and challenging Signify global event with a very short lead time of 4 months to prepare from start to deliver, including on boarding off new suppliers. All organized remotely from home due the lock down. Spotlight was nominated for the Best Dutch Interactive Awards 2020.

The challenge: very low budget to organize an interactive press webcast and with speakers from different parts of the world (Hong Kong and The Netherlands). With time differences to plan and produce during a summer holiday period. Audience coming from Europe, Middle East and North and South America able to answer live questions via chat module. No existing invitation and registration process, so newly developed to make registration and communication possible.

The challenge: with half of the budget and half of the space as previous show we had to come up with a clever and inspiring design to realize the same results. In a very smart and innovative way the booth became the most vibrant place of the whole show, leading to better results as in 2017 edition.
